Refund & cancellation policy
This policy applies to professional financial auditing and related assurance engagements with Scalearch. Website enquiries themselves carry no charge. Binding payment terms appear in your engagement letter; where this page and the letter differ, the letter controls.
Refund eligibility
Fees are charged for professional time and scheduled capacity. A refund may apply when we cancel an engagement for reasons within our control before substantial fieldwork begins, or when a deposit was collected and the engagement never started because we declined independence or scope.
Timeframe to request
Refund requests should be emailed to info@scalearch.digital within fourteen days of the event giving rise to the request (for example, our cancellation notice or your withdrawal before kickoff).
Full or partial refunds
- Full refund of unused deposit — if we cancel before planning work begins, or if we withdraw for independence reasons before kickoff.
- Partial refund — if you cancel after planning has started but before fieldwork, we may retain a portion reflecting planning hours already performed, typically up to the planning deposit.
- No refund of fees for completed stages — amounts billed for planning or fieldwork already delivered are not refundable.
Non-refundable items
Third-party confirmation fees already paid, travel costs incurred with your prior agreement, and hours already delivered under a signed stage are not refundable.
Refund process & timing
Email the engagement name, invoice or receipt reference, and reason. We confirm eligibility within five business days. Approved refunds are processed within fourteen business days to the original payment method where possible.
Cancellation & rescheduling
Please give at least ten business days’ notice to move fieldwork dates. Shorter notice may forfeit part of the planning deposit if we cannot reassign the team. Rescheduling is subject to partner availability around your year-end.
Deposits
Statutory audits usually require a planning deposit stated in the engagement letter. The deposit is applied to the final fee. It may be retained in whole or part if you cancel after planning starts, as described above.
No-shows & access failures
If agreed on-site days are missed because site access or key staff are unavailable without timely notice, we may charge for the reserved day or convert it to remote work only where evidence quality allows.
Work already started
Once fieldwork or substantive planning is underway, fees for work performed remain payable. We provide a summary of hours or stages completed on request when an engagement ends early.
Exceptions
Compulsory legal requirements or mutual written agreement may vary these terms for a specific engagement.
